Job Summary:

Summary:
The project coordinator works across groups, aligning internal team
members and external stakeholders and may coordinate project schedules,
arrange support services, order supplies, and track progress.
Performs administrative duties that include but are not limited to
scheduling appointments, maintaining calendars, typing correspondence
and other documents. Attends, takes and transcribes the minutes of
meetings or committees. Performs research and gathers information,
initiating reports without direction, when required. Plans and
coordinates on-site and off-site management and retreats including site
development, travel arrangements, coordination of information, hotel
arrangements, etc. Provides on-site support at functions. Demonstrates
resource stewardship in planning activities and events.

Position Responsibilities:

Responsible for coordinating meetings and developing processes necessary
to advance the project. Works in collaboration with various project
leadership and is a project champion to ensure the success of the
program.

Serves as program representative on applicable committee, and for
meeting and educational webinars.

Responsible for planning and logistics of educational programs including
but not limited to organization of rooms, schedules, food, and
presentations.

Responsible for implementing outreach efforts and establishing and
maintaining a positive relationship with key referral sources (for
example, physicians, office staff, nursing, case management, social
services, clinical nutrition, diabetes, weight management, bariatrics,
etc.) using multiple education/communication methods.

Responsible for assuring timelines of all required processes and reports
are completed and submitted.

Provides oversight and assists in improving the quality of data and
information as appropriate.

Responsible for data collection and reporting to team and other groups
as needed.

Provides general and advanced, administrative, secretarial, and office
support.

Ensures efficient office operation.

Researches a variety of information requests and responds accordingly.

Prepares reports and presentations.

Has regular contact with internal / external customers, suppliers, or
employees.

Has working knowledge of organization policies and department
practices.

Prepares and monitors invoices and office expense reports.

May assist in preparation and processing of dept. payroll.

Role models the vision and values of Virtua and promotes excellence
through customer service through own actions.

Demonstrates a high level of ability to use judgment and initiative in
the prioritization of multiple activities and requests that result in
completion of the most important activities within time limits
established.

Position Qualifications Required / Experience Required:

At least 5 years experience reporting to executive level.

3 years healthcare operational experience required.

Requires excellent leadership, organizational, written & verbal
communication & excellent interpersonal skills.

Requires problem solving, decision making & critical thinking skills.

Excellent typing 55 wpm, transcribing and meeting documentation
skills.

Excellent PC skills, including knowledge of a variety of software
packages. Computer literate, Microsoft Office (Word, Excel) competency
required.

Must be able to work in a self-directed environment, with an ability to
work with and lead teams.

Excellent presentation skills; ability to implement professional and
community based education programs.

Must demonstrate excellent organizational and communication skills.

Experience in Project Management role preferred.

Required Education:

Bachelor's degree in Health Care/Public Health field or related field
required.
