SUMMARY OF POSITION
The receptionist/administrative assistant position is the face of our company who greets and directs all visitors, including clients, investors, job candidates, vendors and customers. Individual will ensure completion of paperwork, sign-in and security procedures. Individual is responsible for all front desk duties while performing other duties and assisting other departments as needed.
ORGANIZATION STRUCTURE
The receptionist/administrative assistant position is part of the administrative team and reports to: Office Manager. The role is based in Morristown, New Jersey.
RESPONSIBILITIES
Primary responsibilities of this role include the following:
Manage the company's lobby area.
Greets and directs all visitors with enthusiasm and professionalism.
Ensures completion of paperwork, sign-in and security procedures.
Answers and directs incoming calls.
Assists with administrative tasks: interview scheduling, coordinates travel, processes candidate expenses.
Travel and expense management for Director level population.
Manages inventory of kitchen/office supplies
Assists with meetings: room setup; coordinates lunch, material preparation
Co-Manages Yellow Friday Events with the Cultural and Wellness Teams. Fundraisers, clothing drive, blood drive, Take Your Child to Work Day, Wellness Activities
Manages both incoming and outgoing mail, UPS and Fed Ex.
Manages purchase order process: creates requisitions, seeks necessary approvals, prepares purchase orders and communicates to vendor
Handles special administrative projects, as well as overflow work from executive assistants and other departments.
Performs other duties as assigned
QUALIFICATIONS
Individual must have high school diploma or equivalent with 3-4 years experience in administrative/receptionist role.
Ability to communicate effectively.
Ability to exercise initiative, confidentiality and problem solving.
Excellent verbal and written communication skills with professional and pleasant manner.
Attention to detail a must.
Proficient in Microsoft Word, Excel, and PowerPoint.
